# Account setup

> Create your account, invite team members, manage roles and billing, and configure your profile settings.

This page covers everything you need to set up your FormFlows.ai account — from signing up for the first time to managing a team and choosing a billing plan.

## Creating an account

Go to [app.formflows.ai/signup](https://app.formflows.ai/signup) and complete the sign-up form.

    Provide your full name, work email address, and a password. Passwords must be at least 8 characters and include a mix of letters and numbers.

    Alternatively, click **Continue with Google** to sign up using an existing Google account. This skips email verification.

  <Step title="Verify your email">
    If you signed up with email and password, check your inbox for a message from FormFlows.ai. Click **Verify email address** in that message.

    The link expires after 24 hours. If it expires, log in and request a new verification email from the banner on your dashboard.

  <Step title="Set up your workspace">
    After verifying your email, you'll be prompted to name your workspace. This is the name your team and any shared forms are organized under — for example, "Acme Corp" or "Marketing Team".

    You can rename your workspace later from **Settings → Workspace**.

  The free tier lets you invite up to 3 team members, create up to 3 forms, and collect up to 100 submissions per month. No credit card is required to get started.

## Inviting team members

You can invite colleagues to collaborate on forms and view submissions. All members share the same workspace.

    Click your workspace name in the top-left corner and select **Settings**. Then click **Team** in the left sidebar.

  <Step title="Send invitations">
    Click **Invite members**. Enter one or more email addresses separated by commas, select a role for each invitee, and click **Send invitations**.

    Each person receives an email with a link to join your workspace. The link expires after 7 days. You can resend it from the **Team** settings page if needed.

  <Step title="Manage pending invitations">
    Invited members who haven't yet accepted appear in the **Pending** section of the Team page. You can cancel or resend a pending invitation at any time.

  You can set a member's role when you invite them, but you can also change it later. See the roles section below for an overview of what each role can do.

## Roles and permissions

FormFlows.ai has three roles. Assign the role that matches what each team member needs to do.

    Admins have full control over the workspace.

    * Create, edit, publish, and delete any form
    * View and export all submissions
    * Invite and remove team members
    * Change member roles
    * Manage billing and subscription
    * Access workspace settings

    The person who creates the workspace is automatically an Admin. You can have multiple Admins in the same workspace.

    <Warning>
      Removing an Admin from the workspace or downgrading their role is permanent and takes effect immediately. Make sure another Admin is available before making changes to your own Admin account.
    </Warning>
  </Tab>

  <Tab title="Editor">
    Editors can build and manage forms but cannot change workspace or billing settings.

    * Create, edit, publish, and delete forms they own or have been granted access to
    * View and export submissions for forms they can access
    * Cannot invite or remove team members
    * Cannot access billing settings

    This role suits designers, marketers, or anyone responsible for building and maintaining forms.

  <Tab title="Viewer">
    Viewers have read-only access to the workspace.

    * View forms and submissions they have been granted access to
    * Cannot create or edit forms
    * Cannot export submissions
    * Cannot change any settings

    This role suits stakeholders who need to monitor responses without modifying anything.

To change a member's role, go to **Settings → Team**, find the member in the list, and use the **Role** dropdown next to their name.

## Billing and plans

Manage your subscription from **Settings → Billing**.

  <Accordion title="Viewing your current plan">
    The Billing page shows your current plan, the number of forms and submissions used this billing cycle, and your next renewal date.

    If you are on the free tier, you'll also see an upgrade prompt with a comparison of available plans.

  <Accordion title="Upgrading your plan">
    Click **Upgrade plan** on the Billing page. Select a plan and billing cycle (monthly or annual — annual saves 20%) and enter your payment details.

    Upgrades take effect immediately. Your first charge is prorated based on the days remaining in the current billing cycle.

  <Accordion title="Changing or downgrading your plan">
    Click **Change plan** on the Billing page. Select a different plan and confirm the change.

    Downgrades take effect at the end of the current billing cycle. You retain access to your current plan's features until then.

    <Warning>
      If a downgrade reduces your form or submission limits below your current usage, you will not lose existing forms or submissions. However, you won't be able to create new forms or accept new submissions until you are within the new plan's limits.

  <Accordion title="Cancelling your subscription">
    Click **Cancel subscription** at the bottom of the Billing page. Your subscription remains active until the end of the current billing period, after which your workspace reverts to the free tier.

    Cancelling does not delete your account, forms, or submissions.

  <Accordion title="Downloading invoices">
    Past invoices are listed in the **Invoices** section of the Billing page. Click any invoice to download a PDF. Invoices include your workspace name, billing address, and a line-item breakdown.

    To update the name or address that appears on your invoices, click **Edit billing details**.

## Profile and notification settings

  <Tab title="Profile">
    Update your personal details from **Settings → Profile**.

    * **Full name** — displayed in the team list and in activity logs.
    * **Email address** — used for login and notifications. Changing your email requires re-verification.
    * **Password** — click **Change password** and follow the prompts. You'll receive a confirmation email when the change is complete.
    * **Profile photo** — upload a square image (recommended size: 256 × 256 px). This appears next to your name in the team list and activity feed.

    Click **Save changes** after updating any of these fields.

  <Tab title="Notifications">
    Control which events trigger email notifications from **Settings → Notifications**.

    | Notification    | Default | Description                                                  |
    | --------------- | ------- | ------------------------------------------------------------ |
    | New submission  | On      | Receive an email each time a form receives a new submission. |
    | Daily digest    | Off     | A summary of all submissions received in the past 24 hours.  |
    | Workflow errors | On      | An alert when an automation workflow fails to run.           |
    | Team activity   | Off     | Notifications when members join, leave, or change roles.     |
    | Product updates | On      | Occasional emails about new features and improvements.       |

    Toggle each notification on or off. Changes save automatically.

    <Tip>
      If you manage several high-traffic forms, consider turning off **New submission** notifications and enabling the **Daily digest** instead. This reduces inbox noise while keeping you informed.
    </Tip>
  </Tab>

  <Tab title="Security">
    Review and manage security settings from **Settings → Security**.

    **Two-factor authentication (2FA)** — adds a second verification step when you log in. Click **Enable 2FA** and follow the setup flow. FormFlows.ai supports authenticator apps (such as Google Authenticator or 1Password) and SMS.

    **Active sessions** — lists all devices and browsers where you are currently logged in. Click **Sign out** next to any session you don't recognize to immediately revoke access.

    **API keys** — if you use the FormFlows.ai API, manage your personal API keys here. See the [API authentication guide](/api-reference/authentication) for details.

    <Warning>
      Treat your API keys like passwords. Anyone with a key can read your submissions and modify your forms. If a key is compromised, delete it from this page immediately and generate a new one.
    </Warning>
